PURPOSE OF POSITION:
As PMO Administrator, your role is crucial in supporting the Project Management Office (PMO) and the project portfolio it oversees by executing on the administration function of the PMO.
KEY RESPONSIBILITIES:
Administrative Support: Assisting with various administrative tasks such as scheduling meetings, organizing project documents, preparing reports, and maintaining project-related records in various systems and tools.
Assisting Project Managers: Provide support to the project manager/s in planning, executing, and monitoring IT projects. This may include helping with project documentation, scheduling, and resource management.
New Project Scoping Requests: Facilitate BOM (bill of material) scoping requests between Demand, Solutions, PMO and the Project Architects
Project Documentation: Maintain project documentation, including project plans, Celoxis, Statement of Works (SOWs), Exception reports, meeting minutes, project progress reports, and other relevant project records.
Communication: Assist in facilitating communication among team members, internal teams and clients. This may involve organizing meetings, sending out updates, and ensuring everyone is informed of project progress.
Resource Management (Workload): Help with resource allocation, tracking, and coordination to ensure the project is adequately staffed and that resources are utilized efficiently.
RAID: Monitor and track project issues, risks, and dependencies. Report these to the project manager and assist in finding resolutions.
Budgeting and Cost Tracking: Assist in budget management and cost tracking for the project. This may include keeping records of project expenses and comparing them to the budget and could include assisting with exception report commercials (Contingency).
Time Logging: Help with time logging and ensuring that project milestones and deadlines are met.
Documentation of Best Practices: Contribute to the documentation of best practices and lessons learned from the project to improve future project management efforts.
Project Reporting: Assist in preparing regular project status reports for stakeholders, including senior management.
Vendor Management: If the project involves working with external vendors or contractors, the PMO Administrator may help in managing these relationships.
Supporting Project Architects: Provide administrative support to the project architects, including organizing team events, assisting with team communications, and maintaining team documentation.
Ad hoc Tasks: Handle various ad hoc tasks as assigned by the project manager to support the successful completion of the project.
Learning and Development: Actively seeking opportunities for professional development and staying updated on project management best practices and industry trends.
Continuous Improvement: Identifying areas for process improvement within the project management approach and suggesting possible enhancements.

Experience of Microsoft applications:
Using Microsoft Project (or similar)

Use of an ITSM system (Autotask, ServiceNow, or similar)
Beneficial:
PRINCE2 or PMBOK Certification (Minimum Foundation Level)
IT Technical background would be beneficial.
IT Service Management (ITSM) experience would be beneficial.
KEY REQUIREMENTS:
Required:
High School Matric diploma or equivalent
Online course or certification in Project Administration
Previous work experience in a Project Assistant or Administration role
Beneficial:
PRINCE2 Foundation or any other Project Management fundamentals course
Knowledge on Celoxis, QuoteWerks and Autotask toolsets
Previous work experience in an IT PMO
